Processing of self-billing invoices

If you are theSellerare:
Self-billing invoices are your sales invoices for youby your customerThey are created, and sent to you together with the payment, or before.
If you are theCustomer(this is the most commonly used scenario and described below):
Self-billing invoices are then purchasing invoices youOn behalf of your suppliercreate, and which are sent together with the payment, or prior, to, to the supplier.
In all cases where the invoice is shared as PDF file, the customer must clearly state the following text: "Invoice issued by the customer".

Provide invoices as UBL file

When an invoice is offered as a valid UBL file, it can be processed immediately. We check the UBL file and when it is correct you can read the invoice directly into your accounting software. Processing is not only faster but also cheaper. If the UBL does not meet the SI standard or is rejected for any other reason, the PDF is automatically picked up - provided it was sent in the same email, and has the same name prior to the extension.

Conditions submission of self-billing invoices

For quick and accurate processing of the self-billing invoices in a format other than UBL, the following points are important:

  1. Please state the name and address of the customer in one block on the invoice.
  2. Please clearly state your own name and address in one block on the invoice.
  3. Adding IBAN and VAT numbers helps with a good recognition.
  4. Make sure that the basis, percentage and VAT amount are stated on one line for each VAT percentage.
  5. One invoice per file (pdf, jpg, jpeg, png).

  7. Provide multi-page invoices as a single file
  8. The email can be up to 35 MB in size.
  9. A maximum of 50 invoices by e-mail message, but all of these must be real invoices. If one is recognized as an attachment, only one invoice will be processed from this e-mail. It is therefore preferable to submit a separate e-mail for each invoice.(Please note! Images in signatures and logos etc are also seen as attachments)
  10. The maximum size per file is 10 MB.
  11. Annex(s) less than 10KB are ignored.
If you are the customer, submit the SelfBilling invoice as Purchase Invoice(even if you have created it yourself)
If you are the supplier, submit the SelfBilling invoice as Sales Invoice(even if you haven't created it yourself)
